Delay or schedule sending email messages with Microsoft Outlook 2010

I use this function quite often when sending emails.


Applies to: Microsoft Outlook 2010

You can delay the delivery of an email message or you can use rules to delay the delivery of all messages by having them held in the Outbox for a specified time after you click Send.

Note If you are using a POP3 (POP3: A common protocol that is used to retrieve e-mail messages from an Internet e-mail server.) or IMAP (IMAP (Internet Message Access Protocol): Unlike Internet e-mail protocols such as POP3, IMAP creates folders on a server to store/organize messages for retrieval by other computers. You can read message headers only and select which messages to download.) account, Outlook must remain open until the message is sent. To determine the type of account you are using, click the File tab, click Account Settings, and then click Account Settings. On the E-mail tab, the Type column lists the type of accounts that are in your active Outlook profile.

Delay the delivery of a message

  1. In the message, on the Options tab, in the More Options group, click Delay Delivery.

  1. Click Message Options.
  2. Under Delivery options, select the Do not deliver before check box, and then click the delivery date and time that you want.

After you click Send, the message remains in the Outbox folder until the delivery time.

If you decide later that you want to send the message immediately, do the following:

  1. In Mail, in the Navigation Pane, click the Outboxfolder.
  2. Open the delayed message.
  3. On the Options tab, in the More Options group, click Delay Delivery.
  4. Under Delivery options, clear the Do not deliver beforecheck box.
  5. Click Close.
  6. Click Send.

Delay the delivery of all messages

  1. Click the File tab.
  2. Click Manage Rules and Alerts.
  3. Click New Rule.
  4. In the Step 1: Select a template box, under Start from a Blank Rule, click Apply rule on messages I send, and then click Next.
  5. In the Step 1: Select condition(s) list, select the check boxes for any options that you want, and then click Next.

If you do not select any check boxes, a confirmation dialog box appears. If you click Yes, the rule that you are creating is applied to all messages that you send.

  1. In the Step 1: Select action(s) list, select the defer delivery by a number of minutescheck box.
  2. In the Step 2: Edit the rule description (click an underlined value) box, click the underlined phrase a number of and enter the number of minutes for which you want the messages to be held before sending.

Delivery can be delayed up to 120 minutes.

  1. Click OK, and then click Next.
  2. Select the check boxes for any exceptions that you want.
  3. Click Next.
  4. In the Step 1: Specify a name for this rule box, type a name for the rule.
  5. Select the Turn on this rule check box.
  6. Click Finish.

After you click Send, each message remains in the Outbox folder for the time that you specified.

Free annual credits from Experian, Equifax, TransUnion

If you are like me, you receive emails from companies offering annual credit reports. You couldn’t identify any of them, if not all of them, if your life depended on it. You do not have to pay for annual reports. The three major credit reporting agencies, Experian, Equifax, and TransUnion, joined together a few years ago to provide this service to you. I use them to review my credit reports, which is why I am recommending their website to you. http://www.AnnualCreditReport.com. With the increase in identity theft, this is a report you should review every year. Each agency collects data in a different way, so it’s recommended that you request a report from each of the agencies.

Outlook Email Stationery for Email Messages

Email stationery designs include backgrounds and patterns as well as offering a set of unified design elements, such as fonts, bullets, colors, and effects that you can apply to messages. You can also make your own personal stationery. To learn more, see Create stationery for email messages.


Note: This procedure works only if you use HTML as your message format.

How do I change the format of all my new messages to HTML?

Note: If you try this procedure without HTML as your message format, the message “Themes are not installed” appears.

How do I change the format of all my new messages to HTML?

  1. Click the File tab.
  2. Click Options.
  3. Click Mail.
  4. Click Stationery and Fonts.
  5. On the Personal Stationery tab, click Theme.
  6. Under Choose a theme, click the theme or stationery that you want, and then click OK.
  7. Select the font options that you want to use.

Apply Outlook stationery and themes to a single message

  1. On the Home tab, in the New group, click New Items, point to E-mail Message Using, and then click More Stationery.
  2. Under Choose a Theme, click the theme or stationery that you want, and then click OK.
  3. Compose and send your message.

Turn off Outlook stationery and themes

  1. Click the File tab.
  2. Click Options.
  3. Click Mail.
  4. Under Compose messages, click Stationery and Fonts.
  5. On the Personal Stationery tab, click Theme.
  6. Under Choose a Theme, click (No Theme).

Backing Up Your Microsoft Outlook .pst Email File

If you use Microsoft Outlook as your email client, my blog this week includes complete directions for backing up your .pst. This file contains your emails, calendar appointments, contacts, and more. If you don’t know how to perform the backup, the instructions below from Microsoft At Home will guide you through these easy and simple steps.


Most people don’t realize that email isn’t necessarily saved in backups the same way that other files are. That’s because Outlook saves your emails in a Personal Folder file with a .pst extension that doesn’t automatically get caught in normal backups. Unless you’re using a Microsoft Exchange Server email account or a third-party HTTP account (like Windows Live Hotmail), you’ll need to perform a few extra steps to make sure Outlook emails aren’t lost forever if your computer goes belly up.

.Pst files can be quite large, so it’s a good idea to make sure your backup location has plenty of room and that you allow lots of time for an email backup to occur. After you’ve done that, just follow these steps to back up your Outlook content:

  1. Open Outlook.
  2. In Outlook 2010:
    Click the File tab, and in Backstage view, click Open, and then click Import.File tab in Outlook 2010, with Open options listed

    In Outlook 2007:
    Click File, and then click Import and Export.

  3. In the Choose an action to perform list, click Export to a File, and then click Next.
  4. In the Create a file of type list, click Outlook Data File (.pst) in Outlook 2010 or Personal Folder (.pst) in Outlook 2007, and then click Next.Picture of Export to a File dialog box, with Personal Folder Files (.pst) selected.
  5. In the Select the folder to export from list, click the folder you want to export from, such as Inbox or Sent Items, and then click Next.
  6. Browse to and select the location where you want to save the file. Remember, backups should be placed somewhere other than the original location of the source file. For example, if your source file is on your computer’s hard drive, you’ll want to save your backup file to an external source, like a CD or an external hard drive.
  7. Choose the default setting Replace Duplicates with Items Exported.
  8. Click Finish.
  9. At any time, you can restore your file by importing it into Outlook.Note:If you want to just view or access something in your exported .pst file without importing it back into Outlook, you can simply open the .pst file.

    In Outlook 2010:
    Click the File tab and, in Backstage view, click Open, and then click Open Outlook Data File.

    In Outlook 2007:
    Click File, point to Open, and then click Outlook Data File.
